Executive Assistant

Overview: 
Ficosota is currently seeking a highly organized and proactive Executive Assistant to join our International Team in  based in Sofia, Bulgaria. Ficosota Ltd. is one of the fastest growing companies originating from Eastern Europe, engaged in the manufacture and distribution of fast-moving consumer goods across multiple categories, including Home&Personal Care products, Hygiene Disposable Tissues and Snack Foods. 

 


Key Responsibilities: 


• Administrative Support: Manage calendars, schedule appointments, coordinate meetings, and handle correspondence to ensure smooth daily operations; 

• Travel and Logistics Arrangements: Organize travel logistics, including booking flights, hotels, and transportation, while preparing detailed itineraries;

• Communication Management: Manage emails and phone calls, filter communications, and ensure relevant information is conveyed promptly;

• Document Preparation: Prepare reports, maintain databases, conduct research, and provide information as required;

• Personal Errands: Handle personal tasks and errands, as needed;

• Cross-Functional Collaboration: Work closely with the Office Manager, Facility Manager, and Human Resources team. 

 


Required Skills and Qualifications: 


• Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment;

• Excellent verbal and written communication skills, with the ability to interact professionally at all levels;

• High level of discretion, integrity, and ability to maintain confidentiality;

• Strong attention to detail and ability to maintain an efficient and structured workflow;

• Proficiency in MS Office, Outlook, and SAP;

• Higher educational degree is considered an advantage.
